The Production Guide to the Hershey Lodge

The Hershey Lodge is Pennsylvania's largest convention resort, and it earns the booking: serious meeting space, resort amenities that make attendance an easy sell, and a campus that can hold a multi-track conference without busing anyone anywhere. This guide covers what we think about when we produce there — so your program uses the property's scale instead of fighting it.
Think in campus, not in rooms
The Lodge's meeting inventory is big enough that most conferences use several spaces at once — a general-session ballroom, breakout rooms, an exhibit or meal space, and pre-function areas that do more work than planners expect. The production implication: your AV plan is really a routing plan. Decide early which content needs to travel between rooms (a keynote overflow feed, digital signage, sponsor loops) and wire the show for it from day one — retrofitting room-to-room video on site is the expensive version.
The general session room decides your video format
Big ballroom, wide audience, long sightlines: this is LED-wall territory for most corporate programs. A wide-format wall carries branding, speaker support, and camera magnification in one continuous canvas — and it holds up in ballroom lighting that would wash out projection. If the budget leads to projection instead, plan the rig and the lighting design together; the difference between crisp and washed-out is decided before doors, not at them.
Questions worth asking the venue early
- Rigging: what's approved to fly in your specific room, and who signs off? Answers shape the entire design.
- Power: where does show power live relative to your stage wall? Cable runs decide dock-to-doors timelines.
- Load-in windows: what's the real access schedule, and what else is on property that week? Resort calendars are busy calendars.
- House AV vs. outside production: confirm the venue's policies for bringing your production partner, and get introductions made early — shows go better when the venue team and production team plan together.
- Overflow & hybrid: if part of your audience watches remotely or from a second room, say so at contracting — it affects rooms, networks, and rigging.
